USAFL Seeks New Treasurer and Accountant

The USAFL are seeking applications for two positions beginning June 2012. The Board position of Treasurer will be vacated in June 2012. Additionally a replacement for the contracted position of Accountant, both for the period of June 2012 until October 2012. The USAFL Board would like to have both positions filled by May 30, 2012.

Adam Coleman, the current Treasurer, announced at the 2011 AGM that he would be stepping down from the position which he has held since 2008. Adam extended his last term in order to finalize the record number of transactions and unique financial aspects of the 2011 USAFL Nationals in Austin TX.  In addition to his service on the Board, Adam also served three years on the US Advisory Board and three years prior as the coach of the North Carolina Tigers.

The position of Accountant is currently held by Horacio Gutierrez and will be vacated at the same time as the Treasurers position. This is to allow the new Treasurer to appoint an Accountant that will work best with their accounting methods and knowledge. This is a contracted position with remuneration. 

Position Description: Treasurer

Duties include but are not limited to:

  • Receive and issue receipts for all dues, fees and other monies or property paid or donated to the USAFL;
  • Keep a true and correct account of all receipts and disbursements and publish such reports together with the figures from the previous fiscal year on the balance sheet in the annual report;
  • Make such reports and statements to the president and the board as required;
  • Submit a financial report to the board of directors and delegates at the annual convention; and
  • Deposit all monies received by the USAFL to the credit of the USAFL.

Poisition Description: Accountant

The Accountant's role is a paid contractor position, vs. the Treasurer who is a volunteer and member of the Executive Board. This role generally requires 10-15 hours per week and more time around the National Tournament.

Duties include but are not limted to:

Accounting:

  • Review all month-end closing activities including GL maintenance, balance sheet reconciliations and cost allocation for the USAFL using QuickBooks and other software;
  • Prepare and maintain monthly cash flow and schedules;
  • Review and code invoices, and issue payments to vendors and customers;
  • Prepare bank deposits, and record USAFL Board & Contractor transactions;
  • Account for all transactions and preparation and distribute 1099 tax forms;
  • Assist with preparation of Form 990. (IRS Tax Return);
  • Serve as key point of contact for external auditors and analysts;
  • Analyze, establish and execute on practices, policies, systems, and internal controls to ensure organizational efficiency and compliance with USAFL operations.

Finance:

  • Provide concise financial reports and analyses (typically monthly, quarterly, and annually) to the USAFL Board;
  • Assist with annual USAFL budgeting and financial forecasting process;
  • Oversee cash flow planning and ensure availability of funds as needed;
  • Grant Administration and Compliance including management all financial components of government and related grants and contracts;
  • File and archive league financial documents;
  • Help create and instill an environment of communication and co-operation between the USAFL, its sponsors, partners and its member clubs;
  • Attend Board meetings, Tournaments, Retreat & USAFL functions as directed by the USAFL Treasurer at/under this USAFL expense policies and this contract; 
  • Monitor and deal with player and club registration processes, issues etc;
  • Other duties as directed by the USAFL Board.
